Terms & Conditions:
Below will be the terms and conditions for the booking made to Trails Sri Lanka Limited through its website or in any other means. By means of booking confirmation customer/ user / the person who is booking and the person who does the booking on behalf of others will accept the below terms and conditions.
In the below terms “Company”, “We”, is referred to Trails Sri Lanka Limited and “Customer”, “You”, Client” are referred to the person/customer who is receiving or planning to receive the services which offered by Trails Sri Lanka Limited, personally by him or on behalf of others. Companies, People and entities who organize, executive and operate various services on behalf of Trails Sri Lanka Limited in relation to the packages which Trails Sri Lanka Limited offer at the destination are referred as “Service Providers”
a. When you make a booking, you guarantee that you have the authority to accept and do accept on behalf of your party these booking conditions.
b. In order to confirm your chosen package, you must pay a deposit as required by the company, of the package in question (or full payment if requested at the time of booking).
c. You must also pay all applicable insurance premiums and booking fees (if applicable).
d. Your booking is confirmed and a contract between you and the company will exist when the company, send you confirmed itinerary and you make the payment stipulated by the company against the same (Initial booking made through the website is not considered as final or confirmed).
e. Please check your confirmation carefully and report any incorrect or incomplete information to us immediately.
f. Please ensure that names are exactly as stated in the relevant travel document. Company has no responsibility for any errors in any documentation except where an error is made by the company prepared document.
g. The booking information, that you provide to us will be passed on only to the relevant service providers to us, of your travel arrangements or other persons necessary for the provision of your travel arrangements.
h. The information may be provided to public authorities such as customs or immigration if required by them, or as required by law. This applies to any special category (sensitive) information that you give to us such as details of any disabilities, or dietary and religious requirements.
i. Prices of the packages & relevant Taxes are subject to change as per government regulations.
j. In making this booking, you consent to this information being passed on to the relevant persons. Certain information may also be passed on to security or credit checking companies. If we cannot pass this information to the relevant suppliers, we will be unable to provide your booking.
k. If you have paid a deposit, you must pay the full balance by the balance due date notified to you. If full payment is not received by the balance due date, we may cancel your booking and charge the cancellation fees. If you have paid a ‘low deposit’ the balance of the full deposit must be paid by the due date notified to you and then the full balance as that becomes due. Except where otherwise advised or stated in the booking conditions.
l. Official check-in time at all hotels in the packages is 12:00 hours and check-out time is 11:00 hours and Hotels are Subject to Availability.
m. From time to time, renovation or refurbishment and its associated noise are unavoidable at a hotel. If we are notified of such works, we will inform you before you make your booking or within a reasonable time of us being notified.
a. Company reserves the right to amend advertised prices at any time. We also reserve the right to correct errors in both advertised and confirmed prices.
b. Special note: changes and errors sometimes occur. You must check the price of your chosen arrangements at the time of booking. Final price will be notified to you by the company with the confirmed travel itinerary prior to the payment / deposit which make the agreement a confirmed contract.
a. Company is not providing any sort of travel insurance to the customer and all the charges are exclusive of travel insurance.
b. You are strongly advised to take out suitable insurance for you and anyone travelling with you.
c. Suitable insurance would include the cost of assistance (including repatriation) in the event of accident or illness, loss of baggage and money, cancellation fees and other expenses.
a. If you have any special requests (for example dietary requirements, cots or room location), should be notified prior to the booking confirmation. We will pass on all such requests to the relevant service providers, but we can’t guarantee that they all will be met and we will have no liability to you if they are not.
a. Any cancellation or amendment request must be made by the client who made the booking and sent to us in writing, by email, and will take effect on the day we receive it.
b. Proof of posting/E-mailing is not proof of receipt; therefore, you are advised to also confirm all changes by telephone.
c. Please ensure that you have received written confirmation of any changes to your booking prior to travel.
d. Whilst we will try to assist, we cannot guarantee that all such requests will be met.
e. Amendments and cancellations can only be accepted in accordance with the cancellation policy of the company.
f. Cancellations done in 21 days or less days prior to travel date, 100% cancellation fee will be charged. 22 to 28 days prior to travel date, 50% cancellation charges or the equivalent of the first two days of days’ charges depending on the program and period of stay.
g. Any exceptions to above must only be by a written confirmation from the company to the customer.
h. Cancellation policy will remain unchanged for cancellation of the tour due to a reason which is no control over the client or the company unless stated specifically in writing by the company.
i. No refund will be made for unused services which were originally in booking confirmation. Splitting of package is not allowed.
j. Local conditions prevalent at the time of travel may result in modifications to tour contents without prior notice, if such occurs company has no liability over the same.
a. Company takes the full responsibility of the clients traveling with us during the full durations of the confirmed itinerary.
b. In any event that the company found liable to the client on any basis whatsoever, company’s maximum liability to client is limited to, twice the cost of your booking (or the appropriate proportion of this if not everyone on the booking is affected).
a. Company can provide general information about the passport and visa requirements for your trip. client’s specific passport and visa requirements, and other immigration requirements are client’s responsibility and Client should confirm these with the relevant Embassies and/or Consulates. Neither Company nor service providers accept any responsibility, if client cannot travel because he/she have not complied with any passport, visa or immigration requirements.
b. Immigration requirements may change between booking and departure; client is asked to confirm full details prior to the travel (company can assist clients providing this information as part of our service).
c. Company also can provide general information about any health formalities required for your trip but client should check with your own doctor for your specific circumstances in good time before your departure.
a. All ratings are as provided by the relevant service providers. These are intended to give a guide to the services and facilities you should expect from your accommodation.
b. Standards and ratings may vary between countries, as well as between service providers. We cannot guarantee the accuracy of any ratings given. All descriptions and content on our website or otherwise issued by us is done so on behalf of the service provider(s) in question are intended to present a general idea of the services provided by the supplier(s) in question.
c. Not all details of the relevant services can be included on our website. All services shown are subject to availability. If you require any further details, in respect of any accommodation or any other services please contact the company.
a. All complaints and quarries must be addressed to the company. If client has a problem whilst on holiday, this must be reported to the company immediately through the phone provided to the client with the local sim card. If client fail to follow this procedure there will be less opportunity for the supplier to investigate and rectify your complaint. The amount of compensation you may be entitled to may therefore be reduced or extinguished as a result.
b. If you wish to complain when you return home, you may write to us. You will see our name and contact details in any confirmation documents we send you.
All documents (e.g. invoices/tickets/Insurance policies) that require to be posted will usually be sent to you via Royal Mail. Electronic copies of all the documents will be sent to client’s email which been mentioned in submitting the booking. Once documents leave our offices, we will not be responsible for their loss unless such loss is due to our negligence. If tickets or other documents need to be reissued all costs must be paid by the client.
